Calculate a floor
List direct materials, subscriptions needed for the job, transaction costs and travel. Estimate all hours, including sales calls and administration. Decide your minimum pre-tax hourly return. That is a planning preference, not a market rate or a guarantee customers will accept the price.
Choose a pricing structure
Hourly pricing fits uncertain scope when the customer can approve a time budget. A fixed package can suit a repeatable deliverable with clear boundaries. Explain whether taxes or expenses are included. Do not change the basis mid-project without written agreement.
Allow for scope changes
Write down assumptions and revision limits. If the customer changes the task, stop and agree the new price before proceeding. Keep contingency separate in your internal plan rather than disguising charges. Review actual hours after each job to improve estimates.
Check the result
Use net revenue divided by total time, not the headline invoice alone. Tax set-asides and benefits are separate from pre-tax operating profit. If the price cannot cover your costs, narrow the deliverable or reconsider the work rather than relying on unsupported future volume.
Your working checklist
- Add sales, administration and revision time to the production estimate.
- State which expenses, taxes and changes are outside the quoted price.
- Compare estimated and actual costs after delivery before quoting similar work again.
What if the customer says the quote is too high?
Ask which part of the deliverable matters most and whether a smaller scope would solve the problem. Do not silently remove essential work or promise the same result for a price that cannot cover costs. Declining a mismatch can be better than taking an unsustainable project.
